Job Title: Tender Executive Job Purpose: To manage and coordinate the preparation of competitive and high-quality tender submissions, ensuring they meet client specifications, comply with all requirements, and maximize the chances of securing contracts. The Tender Executive will work closely with various internal departments to gather necessary information and ensure timely submission.
Requirements: Key Responsibilities: 1. Tender Management: o Review and understand tender documentation and requirements. o Prepare and compile tender submissions (technical, commercial, and legal sections) ensuring all client specifications are met. o Liaise with internal teams (Sales, Operations, Finance, Legal, etc.) to collect relevant data and support documents. o Ensure that tender submissions are submitted on time and are compliant with all necessary regulations. 2. Bid Strategy Development: o Assist in developing competitive bid strategies to maximize the chances of winning. o Analyse competitors and market conditions to ensure that submissions are competitive in terms of pricing and quality. o Provide input on pricing strategy, considering cost implications, profit margins, and client expectations. 3. Document Preparation: o Draft and edit tender documents, proposals, and presentations, ensuring they are professional, accurate, and persuasive. o Ensure all required documentation, such as financial statements, certifications, and insurance, is included. o Create and maintain tender templates and libraries for frequently used information. 4. Client & Stakeholder Communication: o Communicate directly with clients or their representatives to clarify any tender-related queries and ensure full understanding of their needs. o Coordinate with stakeholders to ensure all aspects of the proposal are in line with the company’s offerings. 5. Compliance & Quality Control: o Ensure that all tender responses adhere to internal and external compliance requirements. o Conduct quality checks on the final submission to guarantee accuracy and professionalism. 6. Post-Submission Activities: o Follow up on submitted tenders, addressing any additional questions or requests for clarification from the client. o Attend post-tender meetings or debriefings to understand the outcome of the submission and identify areas for improvement in future bids. 7. Reporting & Continuous Improvement: o Maintain records of tender submissions and outcomes. o Contribute to lessons learned sessions and continuously improve the tendering process. Skills & Qualifications: Essential: • Experience: 2-3 years of experience in tendering, bidding, or procurement, preferably in a related industry (e.g., construction, IT, engineering, manufacturing). • Knowledge: Strong understanding of the tendering process, procurement standards, and relevant industry regulations. Additional Requirements: • Ability to work under pressure and meet tight deadlines. • Strong analytical skills and the ability to develop effective solutions. • Excellent negotiation and stakeholder management skills. • Typing: English, Hindi and Marathi is a must. • Reading: English, Hindi and Marathi is a must. • Communication Skills: Strong written and verbal communication skills, with the ability to present complex information clearly and persuasively. • Attention to Detail: Ability to review documents meticulously, ensuring accuracy and compliance. • Team Collaboration: Ability to work cross-functionally with multiple departments and stakeholders. • Time Management: Excellent organizational and time-management skills, with the ability to manage multiple tenders simultaneously. Desirable: Qualifications: • Education: Diploma or Bachelor's degree in Business Administration, Finance, or a related field. • Experience: Previous experience in tender management or a similar role. • Skills: Strong understanding of tender processes, excellent written and verbal communication skills, high attention to detail, and organizational skills. • Technical Proficiency: Proficiency in Microsoft Office Suite and tender management software. • Software Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and tender management software. • Project Management Skills: Experience with project management tools and techniques is a plus. Traveling: We are looking for a dynamic Tender Executive who is ready to travel extensively across India. The ideal candidate will be responsible for identifying tender opportunities, preparing bid documents, and engaging with clients and stakeholders during site visits.
